Club events and tournaments: pictures from many pitches
Three pitches, six teams, forty parents with phones. How to turn that into a collection the club can still use at the end of the year.

A youth tournament has three pitches, six teams and forty parents with phones. By the end of the day a thousand pictures exist, spread across forty devices, and the club has exactly the four somebody happened to send in for the website.
That is a collecting problem, not a photography problem, and it differs from a wedding in three ways.
1. Several galleries instead of one
At a tournament not everything belongs in one pot. Separate galleries per pitch, per team or per day make sense, each with its own QR code, link and name. The under-11 parents then do not have to search 600 pictures for their child.
All galleries belong to the same event, you manage them in one place and get one archive over everything at the end. For the signage you print one sign per gallery: on the fence of that pitch, on the changing room door, on the cake stall table.
2. Spreading the work
A club event has no host, it has a committee. Invite the two or three people who do everything anyway as co-hosts. They get exactly your rights: upload, hide, create galleries, download the archive. On a long tournament day that matters: whoever has a minute can step in, without anybody passing a password around.
3. Children in pictures
The point where clubs stumble. We cannot take the rules off your hands, but we can say which tools help:
- Approval before publication. New pictures only appear once somebody from the club has looked through them. With pictures of minors that is the difference between "we take care" and "we hope".
- An access code. The gallery is then not publicly reachable, only open to the people who know the code from the hall.
- Hiding individual pictures. A call saying "our son should not be in that one" is dealt with in ten seconds. The picture is gone immediately, without you having to delete anything.
- A fixed end. When the runtime is over the collection is deleted, not reachable somewhere else. With pictures of children that is an argument, not a drawback.
Parental consent, club rules, use on the website: you settle those as before. Just once beforehand instead of afterwards.
What the club gets out of it
At the end of the year there is a collection the yearbook, the website and the awards evening can all draw on, without anybody writing to forty people. Download the complete ZIP while the gallery is running. It holds the originals at full resolution, and that is what you need the moment something gets printed.
For a single tournament day the small plan is enough, by the way: one gallery, six months, unlimited pictures and guests. Only if you want a gallery per team does the larger one pay off.
